Case Study

ASCO Group, the leading materials management and logistics company for the global oil and gas industry, has gone from strength to strength since its inception in 1967. Headquartered in Europe's oil capital Aberdeen, Scotland, ASCO operates across 70 locations worldwide and employs over 1,500 people.

As the essential partner for global oil and gas materials, equipment and logistics management, ASCO supports the majority of the world’s largest oil and gas companies, working with them to deliver optimised efficiency, reliability and safety.

Part of ASCO’s global success is down to its commitment to continual improvement in the area of Health, Safety, Security, Environment & Quality (HSSEQ). Highlighting this, the Group became one of the first companies to achieve Lloyd's Register's ISO 45001:2018 certification in 2018, following a rigorous assessment across its operations in the UK, Norway, Australia, and Trinidad.

The Group recognised the importance of technology and the adoption of robust systems to support its long-term commitment to effective HSSEQ practices. Therefore, following a thorough assessment of the market, ASCO selected Pro-Sapien as its new HSSEQ management software provider in 2017 for a global rollout across two phases, which ASCO branded the 'LiveSafe Gateway'.

Challenge

Before adopting the software, ASCO had to collate HSSEQ data across 70+ locations using several methods, including different database systems and paper forms.

This process was inefficient, time-consuming and it was challenging to track data sources. Legacy technology and reporting processes allowed for limited flexibility.

Therefore, ASCO required a software solution that would consolidate all processes and the associated reporting of key HSSEQ information across its global operations.

Aims

As familiar users of SharePoint and Office 365, ASCO required a solution that could be integrated with Microsoft applications, allowing the Group to leverage its existing investment – which is one of the main reasons Pro-Sapien was chosen.

It was also necessary to engage a vendor with experience in effective global rollouts to support the worldwide operation.

The aims of the project centered around improving efficiency and productivity, and included:

  • Removing legacy systems, and adopting modern, fit-for-purpose technology
  • Eliminating manual collation of data for reporting purposes
  • Automating notifications to ASCO management structure
  • Ensuring effective management of actions completed and verified with a full audit trail
  • Reducing hold-ups/bottlenecks in the process
  • Measuring performance against HSSEQ goal values
  • Decentralising the system so that responsibility can be shared with site managers

Delivered

Pro-Sapien were able to incorporate the required configurations to achieve the project aims and deliver ASCO’s LiveSafe Gateway on SharePoint Online.

To meet the project aims, ASCO and Pro-Sapien have successfully implemented functionality for:

  • Incident Reporting of HSE, Asset Damage, Security
  • Service Improvement Documents (SIDs)
  • Safety Intervention and Commendations
  • Collation of hours worked from sites for automatic calculation of incident rates
  • Action Management
  • Dashboards and reports for analytics
  • Improved support for mobile devices
  • Multilingual support for English and Norwegian

Results

ASCO was one of the first Pro-Sapien clients to utilise Power BI for data analytics, with configured reports delivered by Pro-Sapien for HSSEQ trending. Through Power BI, ASCO has benefited from flexible reporting by creating several reports of their own.

As well as standardising the incident reporting and investigation process, ASCO has used its LiveSafe Gateway platform to become more proactive in HSSEQ management.
