ASCO Group is the leading materials management and logistics company for the global oil and gas industry. Headquartered in Europe's oil capital Aberdeen, Scotland, ASCO operates across 70 locations worldwide and employs over 1,500 people.
As the essential partner for global oil and gas materials, equipment and logistics management, ASCO supports the majority of the world’s largest oil and gas companies, working with them to deliver optimised efficiency, reliability and safety.
Part of ASCO’s global success is down to its commitment to continual improvement in the area of Health, Safety, Security, Environment & Quality (HSSEQ). The Group became one of the first companies to achieve Lloyd's Register's ISO 45001:2018 certification in 2018, following a rigorous assessment across its operations in the UK, Norway, Australia, and Trinidad.
The Group recognised the importance of technology and the adoption of robust systems to support its long-term commitment to effective HSSEQ practices. Following a thorough assessment of the market, ASCO selected Pro-Sapien as its new HSSEQ management software provider in 2017 for a global rollout across two phases, which ASCO branded the 'LiveSafe Gateway'.
Before adopting the software, ASCO had to collate HSSEQ data across 70+ locations using several methods, including different database systems and paper forms.
This process was inefficient, time-consuming and it was challenging to track data sources. Legacy technology and reporting processes allowed for limited flexibility.
Therefore, ASCO required a software solution that would consolidate all processes and the associated reporting of key HSSEQ information across its global operations.
As familiar users of SharePoint and Office 365, ASCO required a solution that could be integrated with Microsoft applications, allowing the Group to leverage its existing investment – which is one of the main reasons Pro-Sapien was chosen.
It was also necessary to engage a vendor with experience in effective global rollouts to support the worldwide operation.
The aims of the project centered around improving efficiency and productivity, and included:
- Removing legacy systems, and adopting modern, fit-for-purpose technology
- Eliminating manual collation of data for reporting purposes
- Automating notifications to ASCO management structure
- Ensuring effective management of actions completed and verified with a full audit trail
- Reducing hold-ups/bottlenecks in the process
- Measuring performance against HSSEQ goal values
- Decentralising the system so that responsibility can be shared with site managers
"ASCO takes the safety and wellbeing of its people and anyone we do business with very seriously, and this means a continuous investment in our HSSEQ management systems and processes. Partnering with a technology provider that understands our commitment to raising the bar for health and safety in the workplace was key to the success of this project, and we were pleased to have found that in Pro-Sapien."
– Steve Mitchell, Group Operations & HSSEQ Director, ASCO
Pro-Sapien were able to incorporate the required configurations to achieve the project aims and deliver ASCO’s LiveSafe Gateway on SharePoint Online.
To meet the project aims, ASCO and Pro-Sapien have successfully implemented functionality for:
- Incident Reporting of HSE, Asset Damage, Security
- Service Improvement Documents (SIDs)
- Safety Intervention and Commendations
- Collation of hours worked from sites for automatic calculation of incident rates
- Action Management
- Dashboards and reports for analytics with Power BI
- Improved support for mobile devices
- Multilingual support for English and Norwegian
ASCO’s Life Saving Rules (LSRs) were configured into the system to provide consistency with safety training. LSR pictograms are displayed at all ASCO locations and can now be used to correctly classify incidents and interventions in the Pro-Sapien system.
Following this unique configuration, ASCO and Pro-Sapien published the health and safety icon set for public use.
“By evaluating ASCO’s existing processes versus where they want to be, we matched up our various modules and even delivered some brand-new functionality, the Commendations form. We were also able to integrate a new set of Oil & Gas industry standard icons for Safety Rules, which I believe ASCO has been one of the first to adopt. I am looking forward to our continued relationship as we move towards a successful phase two.”
– Colin Espie, Lead Developer for ASCO, Pro-Sapien
ASCO was one of the first Pro-Sapien clients to utilize Power BI for data analytics, with configured reports delivered by Pro-Sapien for HSSEQ trending.
Personnel now spend 80% less time creating monthly performance reports.
As well as standardizing the incident reporting and investigation process, ASCO has used its LiveSafe Gateway platform to become more proactive in HSSEQ management.
On average, there are now 20% more LiveSafe Intervention reports per month.
"The Power BI integration is fantastic, providing ASCO teams with easy access to incident reporting and valuable insights at the click-of-a-button. The cloud-based nature of the platform means our workforce can access the system online securely anytime, from anywhere, on any device, and report, manage and track incidents in real-time.
"By standardising incident forms and workflows, and consolidating the data into one system, we have been able to increase efficiencies, cut the manhours required to manage and report HSSEQ incidents and reduce overall risk.
"Overall, we have been impressed with the high level of service received throughout the project and the functionality of the Pro-Sapien products."
– Jim Titmuss, Group IT&S Director, ASCO
With a modern management system ASCO can continue the company’s commitment to the highest standards of HSSEQ with improved transparency, increased efficiency and a culture of shared responsibility.
